RFQ Template for Utility Invoice Audit
A utility invoice audit or utility bill audit can save your company or business money if done correctly. Use this RFQ to insure that it is.
We have taken the qualification from the article “Utility Bill Auditors - Guidelines on How to Choose the Best One” and included them in a template Request for Quotation (RFQ) also known as a Request for Proposal (RFP). We have also added other questions and disclaimers typical of RFQs. This RFQ can be downloaded and customized for your purposes. It is designed to easily compare the responses across all companies responding.
The RFQ is a spreadsheet file. This is to allow easy comparison of auditor’s answers. Once you have received the response of all auditors, they can be copied into a master RFQ with a column dedicated to each auditing company.
The spreadsheet has multiple sections. Each section has its own tab. The sections are:
- Quoting Policy
- Scope of Services
- Supplier Information
- Submission Requirements
- Supplier Diversity
To customize the RFQ for your purposes do the following:
- Search and replace the following references within the document with you company's name and/or abbreviation to customize it for your use.
- {your company name}
- {your company abbreviation}
- Review and modify the content of each cell for your purpose. Deleting those unnecessary.
- On your cover letter summarize the services being solicited and the due date for proposals. Also add the following:
- Note to suppliers. Please do not add additional rows to the document. If the answer exceeds the space allowed by Excel, continue your response on a separate word document. Refer to the separate document in the Excel spreadsheet. The reason is that all supplier responses are pasted, by column, into a single document for comparison between suppliers. Adding rows or columns may misalign responses to the question or to the supplier.
